2. What data we process
When using the platform, the following data may be processed:
- identification and contact data;
- data relating to the account and registration;
- data relating to purchases, bookings and admission tickets;
- data required for tax, administrative and SIAE obligations;
- data relating to support requests;
technical data and logs required for the operation and security of the service
3. Why we process data
Data may be used to:
- manage registration, purchases, bookings and admission tickets;
- provide the requested service and related operational communications;
- comply with administrative, tax, SIAE and other legal obligations;
- provide assistance and support;
- ensure the security and proper operation of the platform;
- send informational, commercial or promotional communications, where applicable and with the data subject’s consent;
- carry out any statistical or profiling activities, where applicable and in compliance with applicable legislation.
4. Legal basis for processing
- Data required for registration, purchase, booking and provision of the service are processed because they are necessary for managing the relationship with the user.
- Data required for tax, administrative and SIAE obligations are processed in order to comply with legal obligations.
- Data required for the security and proper operation of the services may be processed to protect the Company’s legitimate interest in security and the proper provision of the service.
- For marketing, newsletters, profiling or other optional processing activities, consent is requested where necessary.
5. Processing methods and security
Personal data are processed using paper, electronic and/or telematic means, exclusively for the purposes specified in this privacy notice.
The Company adopts appropriate technical and organisational measures to protect data against loss, unauthorised access, alteration or unlawful disclosure.
6. Who may process or receive the data
Personal data may be processed:
- by the Company Matematici Srl and authorised personnel;
- by the Event Organiser (https://romabarshow.madeticket.it), to the extent necessary for managing the event and related services;
- by technical suppliers and other parties supporting the provision of the services;
- by authorities, public bodies or other parties where required by law.
- Any external parties processing data on behalf of the Company are identified and managed in accordance with applicable legislation.
Personal data will not be disclosed to unspecified third parties.
7. Provision of data
- The provision of data required for registration, purchase and use of the services is necessary in order to complete the relevant operations.
- Failure to provide such data may therefore prevent registration, purchase, booking, management of the admission ticket or provision of the requested service.
- The provision of data for promotional purposes, newsletters, profiling or other optional purposes is voluntary and does not affect the use of the main services.
8. Data retention periods
Data are retained for different periods depending on the purpose (for data falling into more than one category, the more restrictive rule applies; for example, a mobile phone number may be both contact data and tax-related data for SIAE purposes):
- account: 24 months from the last interaction;
- contact data: 24 months from withdrawal of consent to marketing;
- profiling data: 24 months from withdrawal of consent to profiling;
- purchases, bookings, admission tickets, tax, SIAE and contractual documentation: 10 years from the relevant transaction;
- consent-based marketing and newsletters: until consent is withdrawn or an objection is made, and in any case for a maximum of 24 months from the last interaction;
- any profiling data: 12 months;
- ordinary technical logs: 12 months.
In the event of disputes or legal proceedings, the necessary data may be retained until the relevant dispute has been resolved.
9. Transfers of data outside the European Economic Area
Where suppliers or services involving the transfer of data to countries outside the European Economic Area are used, such transfers are carried out in compliance with the conditions and safeguards provided for by Regulation (EU) 2016/679.
10. Data subject rights
In the cases provided for by law, the data subject may exercise the rights of access, rectification, erasure, restriction, objection and data portability.
The data subject may also withdraw any consent previously given and lodge a complaint with the Italian Data Protection Authority.
